Responsibilities:

 

  • To compile and maintain a library of material and information for the purpose of education and providing a historical record of the Council
  • To produce, compile, distribute and maintain the information by the use of print, audio, photographic, or video media
  • To have available information for distribution on request of the membership and assure that return of the same by anyone who is provided use of the material
  • To collect and maintain business records of Council activities at the conclusion of each year. These records should include bylaws, minutes of all Council board and annual meetings, and financial records, as provided by the respective officers and committee chairmen.
  • To collect and maintain all business supplies and council property, including an inventory of the items and quantities on hand, when not in use by other council members. All members are to return excess supplies and property to the Archives Committee by the member when no longer needed. (These supplies and property can include notebooks, tickets, signs, money boxes, souvenirs, membership cards/pins and other items that may be reused.)
  • To act as the Official Council Photographer at all council functions, including the annual conference
  • To assist the Conference Coordinator in any special events which require historical information and exhibits
  • To set up and maintain an exhibit presenting the history of the Council at the annual conference
  • To inventory and maintain all excess souvenir and other items that may be offered for sale to council members; to publicize the availability, process all sales transactions and submit sale proceeds to the treasurer
